Consignor Guidelines

To Become a Consignor

  • You must either call Patricia at 703-967-2507 to reserve a spot or e-mail her @ jpcnva@aol.com to reserve a spot. You must call to reserve a space regardless of whether or not you have been assigned a permanent consignor #. 
  • If e-mailing you must leave the following information: 

    o       full name --

    o        initials --

    o       daytime phone number --

    o       whether you will be donating unsold items or picking up --

    o       approximate number of items --

    o       whether you will be tagging your own items, tagging your own items at our site or having NVCE tag your items.  (See below for more details). 

    o       if you are a repeat consignor please leave your consignor number from the last sale. 

  • Patricia will call or e-mail you back and confirm that she has received you reservation and either provide you with a consignor number or confirm your number.  You will need your consignor # in order to prepare your items for drop off.    

  • Reservation deadline:

    o       We will begin taking reservations for the Spring/Summer 2008 Sale on February 4th.   

    o       If you are tagging your own items either at home or at the NVCE sale site, the reservation deadline is 4:00 pm on the Thursday before drop-off.   

    o       If NVCE is tagging your items the reservation deadline is 5 days before the first drop-off day.

Sales Rate:

  • Consignors who prepare and tag their items and bring them in fully ready for placement will receive 60% of their total sales. Tagging guns, plastic tagging threads, tagging loops and card stock can all be purchased at most major office supply stores or through NVCE at a discount rate.
  • You may prepare and tag your items at our site using our tagging gun and supplies during the weekend drop off days. NVCE staff will train you on how to prepare and tag your items correctly and answer any tagging questions you have. You will not be charged a fee and you will receive 50% of your total sales.
  • To have NVCE tag you items you must provide your completed tags, an inventory and each item must have a piece of masking tape with your consignor # and item# which corresponds to its line on the inventory form. Consignors who have NVCE tag their items will receive 40% of their total sales.

We Accept

·        Seasonal Clothing -- Spring Sale-spring and summer clothing only (lightweight sweaters and jackets accepted) Fall Sale- fall and winter clothing only. No adult clothing except in season maternity and nursing wear.

o       Girl Sizes- Newborn to pre-teen/junior,

o       Boy Sizes-Newborn to 20.   

o       Maternity and Nursing Sizes-Small, Medium, Large, and Extra Large.

·        Children’s shoes, slippers, & boots.

·        Nursing, feeding, and bathing supplies, children’s bedding and linens.

·        Baby/children furniture, accessories and equipment, (e.g., swings, strollers, car seats (not older than 4 years), port-a-cribs, excersaucers, high chairs, playpens, cribs) Please note that while NVCE welcomes the placement of these items in our sale, all large items that remain unsold at the end of the sale must be picked up and cannot be donated. These items include cribs, car seats, excer-saucers, swings, high chairs, playpens and diaper genies; our charities will not accept them and NVCE cannot dispose of them.

·        Toys, games, electronics, puzzles (including outdoor toys, bikes, scooters, etc.)

Quality and Condition

·        All items must be in good to excellent condition. 

·        All zippers, snaps, and buttons must function correctly. 

·        Clothing must have no tears, rips, spots, or stains. 

·        All hems and seams must be finished and not un-sewn.

·         Toys, games and puzzles must be working and have all their pieces.   Boxed puzzles with missing pieces are a continual problem and we are considering not accepting them if we continue to find problems with them.  Test your electronics before bringing them, count your game pieces and make sure they are all there, put the puzzle together to make sure that all the pieces are there and belong to the puzzle you are consigning. 

·        NVCE will be inspecting your items for quality during final setup.  Any out of season clothing items and items not meeting NVCE quality standards will be pulled from the floor.  If the consignor is donating, torn stained and/or broken/ incomplete items will be thrown away.  If the consignor is picking up, items will be pulled from the floor noted as unacceptable and you can pick them up after the sale.

·        Please secure all boxed items like games, videos, and cd’s in their cases using a thin piece of masking tape on all sides.  If we open the item during quality control inspection, we will reseal it.

·        If you wouldn’t buy it, please don’t ask us to sell it.

Making Your Tags

·        All consignors must create their own tags using our template on 90lb or better card stock (see forms section to download blank template).

o       Please note that if you use our excel inventory, it will atomically create your tags for you.

o       If you do not use our excel inventory form that creates the tickets for you, you can simply copy your tickets before you cut them and the copy can become your inventory form.

o       o Any tag color other than WHITE indicates you wish to pick up your unsold items at the sale site on Saturday or Sunday of the sale. (Items with white tags will be donated, NO EXCEPTIONS)

o       White tags indicate you wish to donate any unsold items.

o       You must choose to donate or pick up your items, YOU MAY NOT DO BOTH. All tags must be the same color.

o       Tags must have the following information, each item on a separate line.

§         Consignor # and Initials - This is the number assigned to you by NVCE -- It is the number and initials that will be used to note your sold items and tabulate your payment.

§         Item#  - This is the number that corresponds to your voluntary inventory form, but even if you do not do an inventory please number your items sequentially so we have a final count.  

§         Item#  -If you were to have a duplicate item and did not use item numbers, one ticket could possibly be looked at as a duplicate ticket.  

§         Description- A brief description of your item.

§         Brand -- Only need to note high demand brands like Gap -- Gymboree - Hanna Anderson -- Lilli, Carter, etc.

§         Size -- Size of the items do not use small, medium or large except when sizing maternity clothes

§         Pieces -- This is for multiple items -- a pants and top set would note “2” -- shoes “1 pr”- Items in bags should note -- “3 onesies”, etc.

§         Price -- You price your items.  Please make sure your numbers are crisp and easily readable.

§         Do not use the $ symbol, it can easily be confused as part of the price   An * after the price indicates that you do not want your item to be lowered to ˝ price during the half price sale. 

§         Prices should be in whole dollars only (i.e. $1.00 not $1.50).  The minimum price is $1.

Preparing and Tagging Your Items

·        You may order and purchase discounted tagging guns and supplies from NVCE. Call Andrea at 703-536-4836 or e-mail her at grandsagfurrow@comcast.net. She will have packages available for around $20 for the gun, an extra needle, tagging threads and loops. Supplies for the tagging gun are also available.

·        We ask that quilting guns are not used as the loop is too short making it hard to cut the tag off without damaging the clothing.

·        All items must be prepared as follows:

All clothing must be hung on hangers with the hook of the hanger facing the right side of the garment.  Two piece items need to be safety pinned or gunned together -no straight pins please.

Attach tag with a tagging gun and plastic tagging thread (no safety pins allowed) to the seam under the left arm where the seam makes a T, (the side facing away from pointy prong of the hanger) or at a seam at the inside waistline or pocket of pants.  Tags should be placed so that the garment does not have to be removed from the rack to examine it.  Tags should always be gunned at a seam to avoid unsightly holes that will damage the garment

Shoes, boots and slippers

Shoes must be secured together by the laces or straps and with plastic loops or rubber bands - no boxes please!  Almost all shoes can be secured with a tagging gun and plastic loop.

 

Tags can be secured through a hole in the ticket with a plastic tagging loop and then secured through the shoelace eyelet or buckle.  If no other method will work, tags may be secured with masking tape to the sole of the shoe.  Secure tag on 2 sides.   No scotch tape or packing tape is allowed as it will either tear the tag or the item when removed at check out  .

Small Items

(onesies, tee-shirts, underwear, feeding items, safety & nursing supplies, and grab-bag toys)

Items that are similar in type and size should be placed in clear, thick plastic bags (Ziploc) The top of the bag should be sealed shut with clear packing tape.

Tags are to be gunned (no safety pins allowed) into the plastic bag on the outside of the bag. 

 

Books

 

Books can be sold individually or in batches.  Multiple books must be secured together using twine, string, plastic wrap or ziplock bags.  Secure together in such a way that all titles are visible.  Back to back works best.

Attach the Tag to the front upper right or lower right corner with masking tape secured on 2 sides.  No scotch tape or packing tape is allowed as it will either tear the tag or the item when removed at check out.  

 

Videos/CDs/DVDs

Software

Cases should be taped shut on all sides with masking tape.

Puzzles

Puzzles (25 pieces and under) should be put together to show that all pieces are there and then wrapped in cellophane or placed in large ziplock bags and the top sealed with clear packing tape.  Boxes should be closed on all sides with masking tape only.

For puzzles in bags, gun (no safety pins allowed) through the sealed bag on the outside of the bag; for puzzles in cellophane or in boxes tape tag to the front and secure on two sides.  No scotch tape or packing tape is allowed as it will either tear the tag or the item when removed at check out.

All toys should be clean and assembled if pieces are secure.  Place all small pieces in a ziplock bag and seal the top of the bag with clear packing tape.  Make sure that the pieces will stay together!   Multiple pieces can be easily displayed in large zippered linen bags or in boxes with clear plastic wrapping covering the top.  Pictures (get them off the internet) can be attached to boxes for better sales.    The use of packing tape to secure items will damage decals so if you need to use packing tape, please  make sure you do not put it over a decal.  Make sure outside toys are clean and free of mold, mildew, animal smells, etc.

 

Tags can be secured through a hole in the ticket either with plastic tagging loop to the toy.   If no other method will work, tags may be secured with masking tape to the toy itself.  Secure tag on 2 sides (tape should be placed on the long sides on the left and right of the ticket).   No scotch tape or packing tape is allowed as it will either tear the tag or the item when removed at check out.  .

 

Equipment and Furniture


Please note that while NVCE welcomes the placement of these items in our sale, all large items that remain unsold at the end of the sale must be picked up and cannot be donated. These items include cribs, car seats, excersaucers, swings, high chairs, playpens and diaper genies; our charities will not accept them and NVCE cannot dispose of them.

Must be clean and fully operational.  Please provide user pamphlet if available.  Equipment sells better if it is fully assembled so that the potential buyer can see it.

Attach Tags with plastic tagging loop to a visible area (e.g., a stroller, to the handlebar).of the equipment.  Make a hole with the needle of the tagging gun making sure not to obscure tag information.  For items that have a tray or open seat and you are not able to attach with a plastic tagging loop (high chair, excersaucer, walker, swing, potty chair, step stool, etc.), attach the tag with masking tape secured on 2 sides to the tray, step, seat, etc. This will enable good visibility for the shoppers.  No scotch tape or packing tape is allowed as it will either tear the tag or the item when removed at check out.

Car Seats


Please note that while NVCE welcomes the placement of these items in our sale, all large items that remain unsold at the end of the sale must be picked up and cannot be donated. These items include cribs, car seats, excersaucers, swings, high chairs, playpens and diaper genies; our charities will not accept them and NVCE cannot dispose of them.

Must be clean, fully operational and not have been recalled.  We will not accept car seats over 4 years old.  The date will be on the seat.

Make a hole in the tag with a tagging gun and use a plastic loop to attach or directly gun the tag into the straps of the car seat.



To Inventory or Not to Inventory

·        NVCE highly recommends that all consignors provide NVCE with an inventory form, although this is not mandatory unless you have NVCE tag your items.  To encourage you to provide an inventory our new excel form automatically creates your tags as you type in your items, but you still have to put the tape with your consignor # on your items or we can't retag if your tag goes missing. For our word only users we suggest that you either type directly on the tag template and then print two copies, one for an inventory on plain paper and one card stock to cut and use as tickets. You can do the same thing if writing your tickets by hand, simply copy the tickets before cutting. Providing an inventory form means:

o       You can double check your sold items vs. the items you picked up.

o       You can take a tax deduction if you are donating unsold items.

o       If your tag comes off your item, we can make a replacement tag.

o       If you are tagging your items do not forget to place your corresponding masking tape marked on your items.

·        If NVCE is tagging your items, you are required to provide your prepared tags, an inventory form and to place a piece of MASKING tape with your consignor #, and the item corresponding to your inventory,

Consignor #  - Item # - Size

·        Although not mandatory, unless NVCE is tagging your items, NVCE highly recommends that all consignors place a piece of MASKING tape with their consignor #, and item # on each item so that if your tag falls off we can check it against the lost tag bin and place it back on the floor. Remember NVCE will not sell any item that does not have a tag.

 

Pick-Up

·        Because we have been unable to get enough workers for reverse sort, NVCE will no longer be sorting items designated for pick-up by consignor.

·        You may pick-up your unsold items between 5pm - 8pm on Saturday 3/15/08 of the ˝ price sale or on Sunday 3/16/08 between 2 p.m. and 4pm.

·        After you have gathered your items, you must see an NVCE staffer to have them double check that you have not picked up someone else's item by accident and sign that you have picked up your items.

·        All items not picked up by Sunday 4 p.m. become the property of NVCE.

·        Items should be picked up at the sale site, use the side door facing Henderson Street.

Services and Additional Information

·        If tagging your items at our site, please come prepared to spend about an hour per 100 items and do not bring toddlers.  It will be difficult to supervise young children while doing this type of work.

·        When you check in, we will inspect your merchandise to see that all items are secured and tagged appropriately. 

o       That you have used our template to create your tag

o       That your tags are made from 90lb or higher card stock no construction paper

o       That no tag is secured with any form of tape other than masking tape.

o       That no tags are secured with safety pins.

·        After check-in, you will be asked to place your merchandise in the appropriate area (e.g. 2T girl clothes on the 2T girls rack, puzzles on the puzzle table, etc.). So you might want to presort your items to speed the process along.   

·        NVCE is not responsible for items that have lost their tags -- we will not sell tag-less items so it is imperative that your tags are securely attached.  All tag-less items will be placed on a lost-and-found table and available for review if you are picking up your items.  Any unclaimed tag-less items become the property of NVCE.

·        NVCE is not responsible if an item sells for a different price or if we can not credit the correct consignor because the price or consignor number on the tag is unclear.  For example a 3, 5, or 8 can easily be confused if written sloppily.  Please write legibly. 

·        In order to be eligible for the consignor preview sale, you must consign a minimum of 20 items.

·        At Kinko's, Staples and Office Depot you can buy card stock by the single sheet, this will save you from having to buy a whole ream.
